Having weekly meetings 

First meeting was on August 5 2013 At-Large Technology Taskforce - 2013.08.05 to review the criterion for web conferencing solutions and schedule trials of BlueJeans and ReadyTalk web conferencing solutions for August 12 and 26 respectively. Also discussed was the At-Large Social Media Strategy and the At-Large Social Media Posts space.

August 12, 2013 - evaluation of BlueJeans web conferencing solution

August 19 2013 - Also discussed was the At-Large Social Media Strategy with respect to a curation WG to submit additional content and/or more accessible content from the ALAC announce mailing list for the At-Large Social Media Posts space.

August 26 2013 - evaluation of ReadyTalk conferencing solution

At the ICANN Durban meeting on Sunday , gave an presentation of the LUCID webconferencing platform.

held two meetings using LUCID instead of the Adobe Connect. Members Feedback was generally positive on the use of LUCID

This meeting was postponed a week due to scheduling conflicts and was held on June 24, 2013.

Most of the meeting discussed Ideas for Improving the Organisation of the At Large content wiki pages.  A draft document, describing now content is currently organized and noting some of the issues, was presented to focus discussion.    Task Force members will review the document and provide comments.

The Task Force has been attempting to develop a very short (“one pager”) instruction sheet on the use of Adobe Connect for meetings.    Some use procedures, however, have proven to be complex enough to make short descriptions difficult.  Work continues on this.

There was some discussion of the feasibility of developing mobile applications for ICANN use – one to disseminate information, the other for collaboration.   Two questions arose:

-        the question of cost of development of these applications – and whether they already exist; and,

-        the real penetration of “smart” phones in developing countries.

The Task Force is considering a meeting before Durban, on July 8, 2013.  A doodle poll will determine whether that meeting will be held.

Project to re-organise how content is saved on the At-Large wiki and how such content is presented to the viewer for 

    • At-Large WG -review how content is saved for At-Large WGs ; develop wiki template for At-Large WG pages
    • RALOs - review how content is saved for RALOs ; develop wiki template for RALO pages
    • ALAC - review how content is saved for ALAC ; develop wiki template for ALAC pages

ACTIVITY REPORT FOR MAY, 2013

There were two meetings of the Task Force this month – one was the regularly-scheduled meeting and the other was a “special” meeting intended to be a test of a new meeting product.

Regularly Scheduled Meeting – May 20, 20        13

Discussions:

-        issue of Accessibility for At-Large's web pages

-        will be a continuing topic of discussion

-        outreach to challenged communities is encouraged

-        some discussion of labelling schemes for document indexing

Main Topic

The Task Force has been asked (by Chris Gift) to assess the LUCID meeting tool (www.lucidmeetings.com).

After some discussion, a decision to hold a LUCID-based trial meeting.

 

SPECIAL Meeting – May 30, 2013

This meeting was held using the LUCID meeting tool

The first part of the meeting was an exploration of the currently-available features and their use.  Both the meeting leaders and the participants took part in trials of the product.

The trial was largely successful.   We were informed by Staff that not all features are available yet, but are coming.  Among these are:

-        private chats

-        enabled audio VOIP

-        Confluence support (exporting information to Confluence, in particular)

-        framework modification

 

Consensus – The Task Force will continue to hold its regular meetings using this tool for the time being and follow the progress of the updates.

There was also continuing discussion on the topic of information capture from various sources for the WIKI.   This resulted in a recommendation that the current effort be directed to investigating what information is to be captured and how.   Inclusion of this information on the WIKI would be studied later.
