4. Update on Potential Speakers (ALS representatives and invited guests) (10 mins)

  • Update on outreach efforts to potential speakers
  • Discuss and confirm potential speaker
    • What is the estimated length for this event
    • How many speakers do we invite?
    • What ALS representatives will be in Brussels?
  • Responsibilities:
    • Who will contact potential speakers?
    • Who will draft the program for the event?

5. Update on location, time slot and cost (10 mins)

  • Location: Open area space for Tuesday lunch time is confirmed by meeting organizers
  • Time slot: Tuesday lunch time has been confirmed with the meeting organizers and is supported by the ALAC ExCom. Lunch time will be from 1230 - 1400.
    • Confirm time slot for Showcase event
  • Cost for food and beverages: Approximately EUR 21 per person for 1.5 hours plus 21% tax for beer, wine, nuts, veg/dip tray. (Estimates for 25 participants: EUR 624, 50 participants: EUR 1270, 75 participants: EUR 1905)
    • Will there be additional cost?

6. Update on Sponsorship Activities and Next Steps (10 mins)

  • Update on outreach efforts to EURid and other sponsors
  • What can we offer to potential sponsors?
    • Posters and Logos: We are still awaiting confirmation from the meeting organizers that logos and posters from corporate sponsors can be put on cork walls. It is not possible to hang up banners and other material on the walls. Still awaiting confirmation on the maximum permitted size of the material.
    • Welcome Address: Should potential sponsors get the opportunity to address the audience?
    • Additional possibilities?
  • What support material is needed to reach out to sponsors? (Website, official letter etc.)

    • Who will contact potential sponsors?
    • Who will prepare the material?

7. Outreach to EURALO ALSes ("in-reach")(5 mins)

It was decided that basic information on each ALS should be available in the language of the ALS plus English (and perhaps French). Staff sent out a alaceuralo:draft template for the ALS factsheet to the euralo-showcase list last week.

  • Should a template be sent to the ALSes where they can submit their information?
  • Responsabilities:
    • Who will draft the template, contact the ALSes, follow-up and archive the material?
