WT B MEETING MINUTES:  23 FEBRUARY 2011

a)  Dev to write summary of how the ALS Survey relates to WT B’s recommendations, especially but not exclusively to Rec. 3 (remove any obstacles in ALS-RALO-ALAC structure).

Seth to check with ICANN IT regarding specifics of offering AC Rooms to ALSes.

ITEMS FOR DISCUSSION

3.  AC Rooms for ALSes – Roman and Co-Chairs, 15 min

   -  Specific uses and objective – Co-Chairs;

   -  Logistics (how many Rooms, who would manage them, scheduling, etc.) -- Roman;

   -  Training and support – Roman;

   -  Technical concerns, if any -- Roman; and

   -  Next steps – Roman and Co-Chairs.

Typically, someone needs to be the AC Room host (manage the Room).  But the complication is that the ICANN account is for internal use, and don’t want ALS members to have access to all ICANN internal Rooms. 

  • One solution:  Preset the ALS Rooms so everyone is both a presenter and no host needs to be present.  Later, as competency improves, ALSes might ask RALO to have their AC Rooms set up differently. 

Ideally, have link to AC Room right on ALSes’ Confluence pages.

Terms of use: 

  • ALSes could also use voice feature of AC Rooms during meetings, to hold conference calls, etc.  The only challenge is the quality of the connection.
  • Support:  IT can set up an e-mail system for support, but we’d expect ALSes to largely be self-sufficient.  (There is no support “operator” provided by Adobe.)
  • Training:  Very user-friendly.  We’d provide some minimal training initially.
  • Since Rooms will be publicly available, anyone can see or copy anything in the Room.  (Without giving out Adobe accounts, no way of limiting who can enter Room.)  We will suggest that ALSes delete all text after each meeting.

Rollout:

  • Start with five Rooms – one for each region.
  • Run a shared calendar within the region to schedule room’s use (and can get updates from main ICANN calendar).
  • Volunteers:  Darlene is happy to have her ALS be a tester.
  • RALOs can introduce concept to ALSes in San Francisco, and do some training in San Francisco.  Decided that a good meeting in which Roman could give an overview and initial training on AC Rooms and Confluence pages (see below) would be Regional Leadership meeting.  Roman will also display a template AC Room tailored for ALSes.

>>  AI:  Seth to ask regional Secretariats if they would like presentation on ALSes’ use of AC Rooms and Confluence pages during Regional Leadership Meeting in SF.

>>  AI:  Roman to set up templates of AC Room and Confluence page specifically tailored to ALS use.  If has done early, Heidi and Seth to give feedback.

The Rooms should be very useful:

  • When ALS members traveling.
  • In regions where most have same phone line for phone, Internet, etc.

4.  Confluence wiki pages for ALSes – Roman and Co-Chairs., 10 min

   -  Specific uses and objective – Co-Chairs;

   -  Logistics (are there any w/ wiki pages?) -- Roman;

   -  Training and support – Roman;

   -  Technical concerns, if any -- Roman; and

   -  Next steps – Roman and Co-Chairs.

Each ALS would be able to access only its own Confluence page.  (If the page were set up in a larger space, then must give access to whole space.) 

  • Could encourage regional interactions:  The pages could be clustered under regional umbrellas, and a regional person could be the contact person for all the ALSes regarding the Confluence pages. 
  • Would have verbal agreements with ALSes regarding how they would handle editing and editing rights.

It was decided to move this discussion to another time.  Meanwhile, Roman will look into the tools listed in the agenda (Posterous, iEtherPad, Twitter Twibes).

It was decided to move this topic to another time.
