  Patricio Poblete:A small suggestion to speed things up when taking the temperature of the room: ask everybody to raise the card of their preferred color, all at the same time. This is better than asking in sequence (first gten, then red, the yellow) if you do not need to count the preferences, just to get a rough estimate of people's opinions

3.1. briefing consultation SO/AC planning team


call scheduled for last week, but postponed to this week, Wednesday. Chair will follow up via email, if anything affect the work by the MPC.

Full meeting schedule will be available on 18 February 2019.


3.2. draft block schedule ccNSO-related sessions

Council will move to a different room for its face to face meeting.


Question by chair:  one additional presenter for the ccTLD News Session?

Katrina: no, 4 speakers are enough

Jian: yes, 5 speakers, since this is a popular session. However, agrees that it is good to leave sufficient time for Q&A ad for the contributions by each of the speakers.

Ondrej: increase the number of speakers

Barbara Povse: I believe the number of presenters doesn't matter so much as whether there's something new/important/special to present

Ajay: experience by .jp from IDNs would be welcome.

Majority agrees that the session should consist of the 4 suggested presenters.

Some sessions are more suitable for increased level of involvement , for example voting/support is required.

need to start working with session chairs and presenters at an early phase, to allow for sufficient time to prepare the session, wit the appropriate level of involvement.


Allan: suggestion to present the involvement-slides at the members meeting in Kobe. Barbara and Hiro agree. to make sure everyone understand what we are trying to achieve.

Bart: 

- assuming you like this approach to the different types of sessions, use the suggested proposals

- leading up to the meeting, do MPC members agree with the proposed level of involvements for the different types of sessions? This will allow the secretariat to prepare accordingly.


Barbara: not everybody will join to the same extent. Some people merely want to listen, and not participate too much.  We need to be realistic, not all participants have the same level of preparation.


Bart: important to at least approach the session chairs. they play an important role in enlivening the sessions. Inform them about different ways, and what they could do to prep,  we could win a lot there.  We as secretariat want to avoid that we turn the sessions too much as we see it. There are your sessions. This will not change during one meeting. We need a full year to reach a next level. Start encouraging the chairs, with the support of the MPC.


Allan: be aware that we should not be to strict. Some presenters might not feel comfortable with the increased level of engagement in a language that is not their 1st language.  


Use the material presented today when briefing the chairs.

Alejandra suggests for audience to take piece of paper at the very start, and write down their expectations. Review at the end of the day whether the expectations are met or not. Collect papers at the end. MPC could do the same, to evaluate the meeting. 6 participants agree


Action item #1:

Secretariat  to add links with background literature on session formats (source: Harvard Business Review) in the paper that gives an overview on how to increase the level of engagement
