Before beginning, you may want to open these instructions in a new browser window (or tab) or, alternatively, print or copy these instructions to a notepad application so that you can refer to them as you complete the steps.

  1. Please make sure that you are executing these steps from within the Wiki Space in which you want the Attendance Issue Report Request page to reside. Note: the resulting page can be moved to an alternate location later, if desired.
  2. From the Wiki's top menu bar, select <+Add Page from Template> from the drop-down list.
  3. Click the radio button to select the GNSO WG-AttendanceGNSO Issue Report Request template from the list; click <Next>.
  4. In the top rectangular box that has the “New Page” title greyed outtitle grayed out, enter a unique name such as WG Attendance ReportIRR-Name where "WGName" is the acronym for your group.a brief identity of the issue (e.g., IRR-Thick Whois).
  5. Immediately click <Save> at the bottom of the form. The template will auto-fill a page containing various headings/macros. DO NOT enter any information at this point, just click <Save>.. Once Saved, the template will auto-fill a page containing various data fields. 
  6. Now select <Edit Contents> from the top menu bar and begin completing the template form's information fields as described below. When finished entering information, Click to <Save> the page.

To Complete the Page/Form

At the top of the template, enter the Working Group's name and its Effective Start Date. 

The next section is used to enter the WG’s Meeting Dates by Year-Month & Week. When you click in the Year-Month cell, a calendar will appear. Select the actual date of the first meeting and the template will place the correct Year and Month in the report. Enter the Day of the meetings held during that month in the fields labeled Week1, Week2, etc. The Meetings Held field at the far right will be auto-computed after <Save>ing the page. To add another Year-Month line, click the green <(plus) >. To remove or delete a row, click the red <(error) >. 

The next section is Member Attendance. Click in the cell and a drop-down list will be displayed. Group members may be added according to the organizations they represent (e.g., NCSG, RySG). Attendance sub-totals will be computed for each organization. There are also categories for Individuals, Staff, and ICANN Board. If you prefer not to show members by their organizational affiliation, you may enter all names under "All Other" from the drop-down list.

Fields:

The form contains twelve (12) data fields; information is entered in the rightmost column. 

This is only a reference number to identify each member sequentially within an organization and has no other inherent significance.

Joined

If a member joins the WG after one or more sessions have been held, enter one less than the meeting number at which the person officially joined the group and was expected to attend. For example, if a member joined officially on the 4th meeting date, enter a 3 in this block. The value of Meeting Opportunities will be adjusted to subtract any sessions that were not attended due to having joined late.

Resigned

If a member leaves the group permanently, enter the last meeting number before the resignation notice was received. For example, an 8 would indicate that the person's resignation was effective after the eighth meeting date. This value will become a fixed denominator for the Meeting Opportunities column.

Regrets

Enter a number corresponding to each occurrence when a member notifies the group that he/she will not be able to attend a scheduled session. This field is not used in any computations.

MeetingsEnter the total number of meetings that the WG has held (from the above table "Total Meeting Count To-Date").

Attended

Enter the total number of meetings that have been attended as of the latest reporting date. Typically, for each week that the data are updated, you simply add 1 to the total if the person attended that meeting. If the person did not attend, leave the total unchanged.

Notice that the form starts with one organization provided (defaults to At-Large/ALAC) and one empty member row. You may change the organization name by selecting from the drop-down list. To add additional members, click the green <(plus) > sign. To delete a member row, click the red <(error) >. 

After entering members for an organization, you may add another organization by clicking the 2nd green <(plus) > sign at the bottom of the page below the horizontal separator line.  

New members and organizations can be added at any time. Mistakes or errors can also be fixed by editing the content or, if necessary, deleting a row using the red <(error) > the the left to each entry. Be careful that you don't delete an entire group unless it is your intent to remove all of its subordinate entries.

This application utilizes two software plugins; as a result, it almost always requires two (2) Edit-Contents/Save commands in order to update all of the internal variables properly. For example, when you enter a WG’s data the first time, you will see <?> in the Percent field because the variables from both plugins have not been fully registered. All you have to do is click <Edit Contents>, then <Save> (a second time) and the results will be updated. Similarly, after you enter a new week’s information, you will notice that the Meeting Opportunities and Percent fields will not be accurate. Just click <Edit Contents>, then <Save> once again the data are refreshed.

Summary of the two-step solution:

  1. <Edit Contents> page (enter the WG data or weekly attendance updates normally), then <Save>
  2. <Edit Contents> page (no changes need to be made), then <Save> (Note: this step completes the variable “registration” for both plugins)

Tip

How to Edit Later: Once the page is has been created, you may return at any time to edit the contentcontents. If you need to amend any information subsequently, you simply click on your WG the page link and then click on the top menu bar <Edit><Edit Contents>. Don’t forget to <Save> any changes you make. In some instances, a second <Edit><Save> may be required (see Warning above). All prior page versions are automatically archived.

Tip

How to Link to This Page:  Both standard and tiny links (URL) are available to your WG Attendance Issue Report Request page. The tiny link has the advantage that it will always refer to the correct Wiki location even if the page is moved from one Space to another. It can be thought of as a "permalink." To access the tiny link, go to the Tools menu and click "Link to this page..."  You will see both standard and tiny links, either of which may be copied and pasted to another Wiki or website. (Hint: you may also use the keyboard shortcut "k" which will display the links available).
