  1. May I suggest:

    1. (6.00pm) Welcome at the entry - 10 mins - giveaways distributed, background sitar music and slideshow running - bar open for drinks for 10 mins (to be closed when speeches begin). 
    2. Welcome by the APRALO Chair - 5 mins - showcasing APRALO - thanks to partners & sponsors, (summarised) successful 2016 regional collaboration activities (highlighting leadership & APAC Hub events and webinars, and AFRALO CB coordination), formal thanks to Siranush 
    3. Address by the ALAC Chair - Alan - 2 mins
    4. Address by the Board representative - Rinalia - 2 mins
    5. Address by the Civil Society Rep - Adam - 2 mins
    6. Address by one of the sponsors - if required - 2 mins
    7. Address by ICANN CEO - Goran Marby - 2 mins                           
    8. Networking - cultural performance (Sitar music recommences, finger food is served, drinks bar recommences )

    #2 - it is the APRALO showcase so the Chair should get time to thank our partners, tell people about us, and thank Siranush whom we haven't had a chance to formally say goodbye to

    #3-4 - I have included the ALAC Chair first because APRALO sits under the ALAC who in turn select the ALAC Board Rep.

    #7 - I have left Goran till last because he needs to see the diverse groups that a RALO must cooperate with in order to undertake successful outreach and capacity building.  His role can be to officially open the week of capacity building and outreach by the APRALO and APAC Hub in collaboration with the NCUC and NPOC sections of the ICANN community..

  2. Thanks Silvia and Maureen. Some comments:

    • How about short speeches for NCUC and NPOC Chairs ?
    • I suggest sponsors should get 2 min each, even if it means APRALO Chair's speech is cut to 3 min
    • Who will do the decorative Lights 
    • Goran at the end looks ok (just like the Singapore showcase)
    • How are we presenting the slideshow? As of now, the it appears to have the following Sections:
      • APRALO
      • NCUC
      • NPOC
      • APAC Hub
      • Other activities (APrIGF, inSIG, APSIG...)
    • Does it make sense to pause the slideshow between sections for 1-2 speeches, and then resume it? Running it as one continuous presentation may be too long and may not sustain audience interest
    • Any dress code for APRALO LT? ALSes? (we need to inform them in advance)
    • We may need to create a  script (after reaching HYD) to check the overall timing and to ensure nothing gets missed out
    • Should I check about the Sitar performer? There is a local event manager that we are using for inSIG, who may be able to suggest someone.
  3. As to short speeches fron NCSG and NPOC - NO. We already have enough.  What is not listed - and MUST be - in speeches from our sponsors.  And the APRALO chair - sorry Satish - also gets two minutes max.  This is a showcase event - and speeches stand in the way of what people are there for - networking and relaxing with food and drink.  I'm REALLY not sure about Goran at the end - people will be too busy networking and drinking and won't want to go back for another speech.  It also looks rude. (he also won't want to have to hang around til the end - or won't want to come to an event when half the audience will have left) CEOs and Chairs are up front. Then Rinalia (our region) and only a brief word from Alan.  Then sponsors.  As to NPOC and NCSG - we said they can meet and greet.  If they must be acknowledged, Satish can do it.  As to slide show, I think it should just be a loop of pics from APRALO Showcases - there for the start - then not on during speeches - then continuous for the rest of the time.  The pics can be referred to by Satish - to show what we do and our diversity.  Since it will be in the background, it doesn't need to sustain interest - people can view it when they want.

    Dress code- only that APRALO people try to wear at least a bit of red.  Otherwise, any other dress is okay - remember, people are coming straight from meetings  to this event and will not have time to change.

    The running agenda would be:

    As people enter, sitar (or other musician) playing and slide show running.  Alan and Satish and rep from NCSG and NPOC welcoming people.  Also, promotional material from sponsors on a table at the entrance, along with our own material

    Speeches - music off .  I thing maybe slide show off so as not to distract from speakers. Brief intro from Satish - who also introduces the other speakers.  Speakers: Goran, Steve, Rinalia, (if we must, Alan), sponsors.  (It we MUST have something from NCSG/NPOC - one speech only from   the GNSO , then no Alan, since Satish is the ALAC person

    Then slide show and music resume.

    Just my thoughts, but that is what I understood we agreed on, and what I told the sponsors I have worked with would be roughly the running order.

     

    (And yes - I don't care who does it, but someone should check on the performer(s).
