DESCRIPTION
Produce easily understandable executive summaries, key points and synopses (using e.g. infographs, videos and other innovative ways of presenting information) for all relevant issues, processes and activities, so that also non-expert stakeholders will be able to (a) quickly determine if a particular issue is of concern to them and (b) if yes, to participate in the policy process easily and effectively, on equal footing with other stakeholders. This should be done at least, but not only, before putting issues up for public comment. Attention should be paid to using plain English (and if possible translations into other languages) in order to allow non-English native speakers to understand the issues.

| Phase 4 | Phase Update | The issue of engagement and tools, including features of ITI, were discussed during the Board Meeting with the ALAC on 13 March 2023 during ICANN76. On 15 March ICANN org met with ALAC on the next steps for the Joint ALAC-GAC Statement Enabling Inclusive, Informed and Meaningful Participation at ICANN. The ALAC noted that the ALAC and GAC are looking for ICANN org, at minimum, create summaries of documents (aimed at helping newcomers) and to document updated versions of a report if/when an item is updated to ensure the most recent version is being used. On 18 May, ICANN org held a follow up meeting with ALAC ahead of an ALAC meeting with the GAC. ALAC stated they would like a means to enable newcomers to get engaged in At-Large quickly. It was agreed that a primer, a simple intro to a topic or issue, would be preferred over an executive summary. An action item was for the ALAC and GAC to prioritize their top 10 priority topics to focus on. ALAC and GAC engagement with ICANN org is expected to continue on this topic with the aim to finalise the conversation by the end of 2023. The ALAC is considering identifying topics for the 10 primers to be developed by ICANN org. The aim is to have the ALAC/GAC agree either at ICANN78 or shortly thereafter. |

| Phase 4 | Phase Update | During ICANN66, representatives of the ALAC and NPOC, with input from GAC support staff, held an informative session on current communication procedures and tools within their respective groups. They received useful comments from ICANN org. Next steps will include the ALAC reaching out to the GAC and NPOC leadership on organizing an inter-sessional call early in 2020 to discuss follow up from their successful session. The ALAC will propose a joint F2F session during ICANN67 in Cancun. |
