Decisions Reached: 

Revision of ToR Objective CPilot Holistic Review Roadmap

• The group decided that the language used in objective C needs substantive revision.

Closing out of Comments

• The Coordination Group agreed to acknowledge and close out the ToR document comments that have been addressed during the 5 May Plenary Meeting. 

ToR Definitions

• The Coordination Group agreed to focus the 5 May Plenary Meeting on the definition of ToR terminology.

Revision of ToR Objective C

• The Coordination Group agreed that ICANN org SMEs should work on the revision of objective C based on comments from the ToR Team.

Roadmap Review

• The Coordination Group agreed to revisit the Pilot Holistic Review Roadmap during the beginning of the 5 May Plenary Meeting. The purpose is to illustrate the time available for substantive work to inform scope of work considerations by the ToR Team.

Action Items:

• agrees that certain milestones (socialization, public comment, published deliverables) should be noted as “immovable milestones” on the Roadmap to help anchor the Pilot Holistic Review team’s planning.

June Plenary Meetings

• The group agreed to schedule 2 additional meetings in June to complete the ToR draft prior to ICANN 74.

Terminology Definitions

• The group agreed to look at ICANN resources, including Cross Community Working Groups, to inform the definitions of consensus and public comment in the ToR document.

Add context to definitions

• The Coordination Group agreed that adding a paragraph at the start of each definition to note where the term is referenced, would help communicate the contextual use of the term.

Aggregate Deliverable and Objective comments

• The Coordination Group agreed that aggregating the unaddressed comments from the Deliverable and Objective sections of the ToR would be helpful for focusing 12 May discussions on these areas of the ToR.

Post ToR draft procedure

• The Coordination Group agreed that once the ToR draft is complete, it will go to the OEC for their review and identification of next steps prior to ICANN org facilitating the public comment process.

Action Items:

1. Update the Pilot Holistic Review Roadmap to reflect immoveable milestones (socialization, public comment, published deliverables) 
2. Schedule 2 June and 9 June meetings for the Pilot Holistic Review ToR Team
3. Look at ICANN resources including Cross Community Working Groups to inform defining consensus and public comment 
4. Develop paragraphs to accompany definitions that require additional context in the ToR
5. Aggregate unaddressed comments from the Deliverable and Objective sections of the ToR to focus 12 May discussions
