Minutes of the Meeting

03 MAY 2012

1. Welcome and Introduction

The two upcoming events are EURALO GA in EURODIG

The ALAC Anniversary Event in Prague

After an exchange of events it was decided to organize the 10 year At Large Anniversary Party.  It is a good idea to have a retrospective section and as a second part to make an assessment and outlook on ALAC.

Links on today's agenda are on the WIKI and workspace.

2. Planning and preparation for GA in Stockholm

Short list of things to be done

5th GA of EURALO. This will be less complex.

  • Email to be circulated to convey GA in early May and 4 weeks before the GA.
  • Circulate 1st draft of the Agenda. Agenda will be updated based on previous years.
  • Compile a Board report to the GA. It will be a compilation of the monthly reports.

Wolf requested support from EURALO members.  Once the report is drafted to comment on it, and send it back to Wolf.

Yrjo: Issue to be decided: Will there be Remote Participation?

Equipment to be provided by EURODIG, as it was provided in Belgrade.

AI : AT-Large staff can provide the AC room and Adigo Bridge for the GA. Anyone from At-Large Staff can be the remote moderator.

EURALO will ask people who would like to participate remotely.

3. ICANN 44 Prague planning – ALAC Anniversary event, see:

Monday 25 June 4- 6:30 pm.

Two Sections

1) Debate on At Large History 90 min

It is a vivid and dynamic debate, we should not be too strict, we can be flexible regarding the first part. Afterwards a celebration as a cocktail party.

Panel: Informal panel.

2 ad 1/2 hours should be exiting. Because it is difficult to sit through.

100 -125. Cost including drinks wines and cold snacks and cakes: $7,500. 60 $ per person.

AI: Wolf Would like to see in detail what the Hilton is offering for the cocktail. At Large staff to work with meeting staff to obtain that information.

OCL: Offsite location may sound like a good idea, but being an At -Large event it needs interpretation so, we need to take that into account.

OCL: Asked about Sponsorship. Will be addressed at a later stage.

Program:

Wolfwang will ask him  to make an introduction to the event.

Andrew McLaughlin

The info part will be completed with a slide presentation.

AI: Heidi: At Large can offer videos from the signing ceremony for the RALOs,

Annette Muhlberg: Former ALAC Chair in 2006.

OCL suggested all of the prior Chairs of At-large, and the  concern is that most of the panelist would be European.

OCL : We have to recognize the challenges faced by the ALAC and what were the challenges each year and how we evolved from there.  It would be interesting to see perhaps the challenges are the same?

AI: Ask each ALAC Chair for 5 minutes each and ask them to address the challenges they faced at their tenures.

Wolf asked if people agreed on the titles: How we became what we are. All agreed.

Moderation for information: Wolf and Yrjo .

AI : Slides : Wolf asked the attendees for ideas on historical issues.

Music: Wolf suggested EU Anthem ; Beethoven's "Freude schoner Gotterfunke" as well as Antonin Dvorak, etc. Wolf will work on a sound track for the evenning with the help of At Large staff.

Next steps:

*Speakers:*Contact and select speakers.

Sponsors : Cost is high, and if we cannot negotiate it down we will need sponsoring. Dot EU, etc. Wolf cannot step in personally because he was closely involved in Eurodig funding with Sandra and cannot ask the same people to sponsor again.

OCL: Offered to contact some people informally to get sponsorship.

AI: Staff will send a Doodle out for another call in 2 weeks.
